Position: Front Desk Coordinator
Direct Reporting: Reports directly to the Front Desk Manager
Overall Responsibility:
The Front Desk Coordinator is a key member of the property management team and will perform essential functions as they relate to service requests, package retrieval, accessibility of the building and administrative support.
Essential Functions:
Warmly greet residents and register guests and prevent solicitors from entering the building. Monitor cameras as appropriate. Allow access to residents when appropriate (buzzing them in).
Answer all incoming calls and handle accordingly using Mac telephone greeting standards.
Accept and administer packages, distribute mail to residents boxes.
Assist residents with move-in and move-out procedures, including the scheduling of elevator time.
Know emergency key procedures (Key Track, key box locations, fireman elevator keys, lock-outs,etc.).
Enter service requests in SalesForce and ensure they are assigned to the appropriate staf f m ember.
Conduct follow-up calls for resident service requests.
Conduct courtesy calls to residents (i.e. cabs, packages, deliveries).
Be aware of Mac goals for resident satisfaction and resident retention.
Participate in ongoing resident relations, including telephone calls and resident functions.
Assist with resident concerns or related activities as requested by management.
Ensure that the office, lobby and models are in perfect condition. Clean, vacuum, and dust when needed. Physically inspect
property when on grounds, pick up litter, and report any service needs to the maintenance staff.
Announce all visitors / deliveries to residents when applicable.
Assist in answering leasing phone calls and respond with appropriate information when applicable.
Assist Front Desk Manager and Front Desk Supervisor in various tasks asrequested.
Performs other related duties and assignments as required.
Qualifications, Experience, and Education:
High school degree or GED required; Bachelors Degree preferred
Microsoft Office Suite (Word, Excel, Outlook) and Internet navigation; Salesforce experience is a p lus
Exceptional customer service and follow-through skills
Excellent organization skills
Outgoing personality enjoys interaction with customers
Self-motivated and able to work with limited supervision
Ability to set priorities and handle multiple tasks
Strong oral and written communication skills
Measures of Success:
All resident correspondence complies with Mac Properties standards.
All resident concerns and service requests are documented completely and accurately.
